SharePoint Framework for the Mining Industry

Perth, Australia, May 13, 2011 –Following the recent announcement by Cadac Organice, Clayko Group, a Cadac Organice partner and reseller of the Cadac Organice product suite (a SharePoint based solution for engineering document management and document control), announce implementation services for the Cadac SharePoint framework for the mining industry.

The Cadac Organice Product Suite offers solutions for engineering document management and document control and is entirely based on Microsoft SharePoint. Leveraging SharePoint as the platform for Enterprise Content Management and Collaboration, Cadac Organice is especially suitable for project-driven engineering industries like the mining industry. Over the years, it has been implemented worldwide by several mining companies, mining projects and suppliers to the mining industry. Clayko Group Joins Women in Technology, WA as Corporate Sponsor

Perth company wants more women in the technology sector

PERTH, Western Australia (7 April 2011) Formalising a long history of support, Women in Technology, WA (WITWA) is thrilled to announce Clayko Group has signed on as a corporate sponsor of the women’s technology group.

“We’ve had a close relationship with Clayko over the years. When we decided to take on corporate sponsorship to help fund our technology programs, Clayko immediately signed on,” says Marjolein Towler, Chair of WITWA.

WITWA launched their techtrails program last November. Designed as a technology outreach program for youth in remote and regional Western Australia, WITWA’s goal is to encourage girls and boys to consider careers in technology.

“Our whole industry is suffering due to the low uptake of technology careers at the tertiary level. WITWA has successfully run career showcases over the years but we weren’t reaching the regions. We’re doing that with techtrails,” says Towler. “With support from organisations like Clayko, we increase our ability to reach more students.”

John Dorrington, CEO of Clayko Group agrees. “One of the biggest challenges to my business is finding the right talent. With fewer and fewer people entering the technology industry, especially women, something has to be done. We currently have no women in technical roles which is a real problem throughout the industry.“

Lyn Beazley, Chief Scientist of WA is the patron of the techtrails program. Collaborating with Scitech to provide hands-on training, techtrails also introduces technology careers and career pathways to high-school aged children. A not-for-profit organisation, WITWA receives no funding from the government.

WITWA Blazing techtrails to Regional Western Australia

Following on from our current expertise and support of the Microsoft Business Productivity Online Suite (BPOS), we will be supporting the upgraded Office 365 which extends the BPOS offering and is based on the new 2010 suite of Microsoft products, including SharePoint 2010.

Functionality

Office365 will introduce Lync Online (a combination and replacement for Office Communicator and Live Meetings), add Office Online options (i.e. Word, Excel, PowerPoint), and allow SharePoint to be the basis for customer facing websites. It will also upgrade the BPOS platform to Exchange 2010 and SharePoint 2010 and provide new functionality for the existing BPOS services.

KnowledgeLake and SharePoint Provide Complete Enterprise Content Management Solution for Regional Credit Union

About the Client

The Community Mutual Group (CMG) is the group trading name of three regional Credit Union brands– New England Mutual, Orana Mutual and Hunter Mutual – that service regional NSW.

It is the largest inland regional community Credit Union in Australia with a member base of approximately 70,000 members and an asset base of almost $1 billion. The recent mergers with Orana and Hunter Mutual has created a period of rapid growth, and a further challenge in integrating multiple business systems across the group.

Project Overview

With 28 branches and four agencies, CMG recognised the need to find and implement an Enterprise Content Management (ECM) system to help control their expanding business and provide better service to their 70,000 members.

Client Requirements

Working with heavily paper-based business processes, CMG wanted to ensure timely delivery in their loan approvals process and in customer service-related activities.

Client documents were not always readily available, and each branch held paper-based documentation for clients. Signature records were spread across the full network of branches, meaning delays in customer service when customers visited branches away from their home town. Searching through paper files was time-consuming, and the cost of storing and distributing paper documents was excessive.

For customers wishing to use the services of a different branch to their original one, all signatory documentation needed to be faxed through from the original branch. There were multiple paper-based files containing member documents.

CMG also needed a system that would assist meeting compliance with their regulatory body, the Australian Prudential Regulatory Authority (APRA).

CMG had recently acquired Microsoft Office SharePoint Server (MOSS), and was keen to leverage this as a platform; however SharePoint alone did not offer the ECM controls required. Also, the adoption rate of the new SharePoint system was poor, with users not readily taking on the new system.

The solution needed to allow the digitisation of physical documents including signature records, loan and credit card applications, as well as capturing electronic documents like emails, Word and PDF documents. All documents would then need to be stored centrally to enable easy retrieval and viewing by authorised users.

Our Solution

CMG selected Clayko Group, a Microsoft Gold Certified Partner, as their partner to provide the solution that would give users the means to scan and digitise physical documents at the point of creation, as well as capture electronic documents, and to store and retrieve them using SharePoint.

CMG chose Clayko Group with KnowledgeLake over other ECM solutions based on:

experience with the Financial Services sector and
experience with bulk scanning
integration with Microsoft Windows
functionality matching the level of complexity required

Clayko Group worked with CMG to create a robust and easy-to-use solution for document capture. The solution includes products from KnowledgeLake (a Microsoft Managed Gold Certified Partner) Microsoft Office SharePoint Server 2007 and Kodak.

Clayko Group implemented an end-to-end document management solution using

KnowledgeLake Capture
KnowledgeLake Connect
KnowledgeLake Capture Server; and
KnowledgeLake Imaging Server

These four products are part of KnowledgeLake’s suite of document imaging, document capture, and workflow products and solutions designed to work with Microsoft SharePoint technologies.

The solution also included supplying Kodak i1320 and Kodak i1420 duplex scanners to scan documents onsite at each branch and in their head office.

Using KnowledgeLake Capture documents were scanned with the software enabling them to be indexed according to important document information (metadata) such as type of loan, member number, first name and last name. The completed scans are housed on a dedicated SharePoint Server that is accessible from every CMG branch. The use of metadata in the indexing process means that CMG can now search through hundreds of thousands of documents with very specific search terms, and find the right document, in seconds.

Using Clayko Group’s Scanning Bureau services, CMG was able to digitise years of current and archive documentation for over 70,000 members in the space of three months. With more than 55,000 signature records and 30,000 loan files, this amounted to over 1.5 million images scanned, indexed and uploaded to SharePoint in just 12 weeks.

Outcomes

The implementation of KnowledgeLake as part of CMG’s SharePoint as ECM installation means that business processes involving document handling has been greatly decreased. Where previously branches would have daily courier deliveries of paperwork to head office, now they scan and index files at each branch. This has significantly reduced the amount of time between document creation and upload to a central repository, and also the costs involved with couriering documents.

Customer service has also been improved through the implementation of KnowledgeLake, due to the access to signature records within SharePoint. Where branch staff previously had to search through paper customer records, or contact other branches to send fax copies of signature cards through, branch staff can now access signature cards from any branch, within seconds, regardless of where the original document is housed.

Community Mutual Group’s Head of HR and Organisational Development Valerieanne Byrnes said, “At CMG we pride ourselves on being a community business. KnowledgeLake and SharePoint allow us to easily and securely access customer information, regardless of the branch they enter.”

The solution went live in January 2010 and as a result of the KnowledgeLake/SharePoint implementation, CMG are now moving towards being a completely paperless business.
